This notice explains how MCG1919 Limited ("we", "us"), a company registered in England and Wales with its registered address at 71-75 Shelton Street, Covent Garden, London, WC2H 9JQ, handles personal data in connection with Meet Bill (meetbill.co).

For the account data described below, MCG1919 Limited is the data controller. Where your organisation enters information about its own people into Meet Bill, your organisation is the controller of that information and we act as its processor, handling it only on its instructions.

What we collect and why

  • Account details — name, email address and login credentials, so we can create and secure your account and contact you about the service. Legal basis: performance of our contract with you.
  • Organisation details — organisation name, its Meet Bill link and any logo you upload, so the service works for your team. Legal basis: performance of our contract.
  • Roster and cost information — the names of people or teams your organisation adds, and the hourly cost figures it assigns to them, so meeting costs can be estimated. This is entered and controlled by your organisation. Legal basis: your organisation's legitimate interest in understanding its own operating costs.
  • Meeting records — meeting names, start and end times, headcount, the estimated cost and the "was it worth it" rating. We do not record, transcribe or listen to meetings. Legal basis: performance of our contract.
  • Support messages — anything you send us by email, so we can help you. Legal basis: performance of our contract and our legitimate interest in supporting customers.
  • Technical and usage data — IP address, browser and device information, log and error data, so we can keep the service secure, diagnose faults and improve it. Legal basis: our legitimate interests in security and service improvement.
  • Email delivery data — whether our emails to you were delivered, bounced or were reported as spam, so we can keep our messages reaching you. Legal basis: our legitimate interest in reliable communication.
  • Billing records — the plan you are on, renewal dates and payment status. Card details never reach us; they are handled by Paddle. Legal basis: performance of our contract and compliance with legal obligations.

Who we share data with

  • Service providers and subprocessors — hosting, database, email delivery and error-monitoring providers who process data on our behalf under contract.
  • Paddle.com — our Merchant of Record, for the sale of subscriptions, subscription management, payments, invoicing and tax compliance.
  • Professional advisers — legal and accounting advisers, where needed.
  • Authorities — where we are required to disclose information by law.

We do not sell personal data, and we do not use it to train AI models.

International transfers

Some of our providers process data outside the UK and the EEA. Where that happens, we rely on adequacy decisions or on the UK International Data Transfer Agreement / EU Standard Contractual Clauses, together with appropriate technical safeguards.

How long we keep it

We keep account, organisation and meeting data for as long as your organisation has an active account, and for 30 days after it closes, after which it is deleted or anonymised. Billing and tax records are kept for seven years, as UK law requires. Technical logs are kept for a short period, normally no more than 90 days.

Your rights

Under UK and EU data protection law you have the right to access your personal data, to have it corrected or erased, to restrict or object to how we process it, to receive a portable copy, and to withdraw consent where we rely on it. To exercise any of these, email support@meetbill.co. We will respond within one month.

You can also complain to the UK Information Commissioner's Office (ico.org.uk) or to your local supervisory authority.

Security

We use appropriate technical and organisational measures to protect personal data, including encryption in transit and at rest, row-level access controls in our database so one organisation cannot see another's data, and restricted internal access. Hourly cost figures are visible only to administrators of the organisation that entered them — never on the public meeting timer page.

Cookies and similar technologies

Meet Bill uses only essential cookies and local browser storage: to keep you signed in, to remember the organisation whose timer you last used, and to remember that you dismissed the "add to home screen" prompt. We do not use advertising cookies or third-party tracking. You can clear this storage at any time in your browser settings, though signing in again will be required.

Children

Meet Bill is a workplace tool and is not intended for anyone under 16.

Changes to this notice

If we make a material change, we will tell you by email or in the app. The date at the top shows when this notice was last updated.
